WhatsApp Business for lead generation: setting up your website for enquiries
How to turn website visitors into WhatsApp enquiries: setting up WhatsApp Business properly, adding click-to-chat buttons with pre-filled messages, tracking leads and replying fast — without annoying pop-ups.
In India, many customers would rather send a WhatsApp message than fill in a form or make a call. It feels quick, low-pressure and familiar. If your website makes WhatsApp the easiest way to get in touch, you will usually get more conversations from the same number of visitors.
But a green button alone isn't a lead-generation system. This guide covers the full setup: the WhatsApp side, the website side, tracking, and how to reply so enquiries turn into customers.
Step 1: Choose the right WhatsApp product
There are two main options for businesses:
WhatsApp Business app (free)
- Runs on a phone, with linked devices for a few team members.
- Business profile, catalogue, labels, quick replies, greeting and away messages.
- Ideal for small businesses and owner-led teams.
WhatsApp Business Platform (API)
- Accessed through Meta directly or a provider.
- Supports larger teams, shared inboxes, automation and CRM integration.
- Has per-message charges and requires more setup.
Most small and medium businesses should start with the Business app and move to the platform only when volume or team size demands it.
Step 2: Set up your WhatsApp Business profile properly
Before you send traffic to WhatsApp, make the profile trustworthy:
- Business name and logo that match your website and Google Business Profile.
- Category, description, address (if relevant), hours, email and website.
- Catalogue with your main products or service packages and prices where you publish them.
- Greeting message that confirms you've received the message and sets expectations: when you'll reply and what details help.
- Away message for outside business hours.
- Quick replies for frequent questions — prices, location, timelines, payment options.
- Labels such as New lead, Quote sent, Follow up, Won and Lost to keep the pipeline organised.
Step 3: Add click-to-chat links to your website
WhatsApp supports simple links in this format:
https://wa.me/<country code and number>?text=<pre-filled message>
The number must be in international format without the plus sign, spaces or leading zeros — for an Indian number, 91 followed by the 10-digit mobile number. The text must be URL-encoded (spaces become %20).
Where to place links:
- Header — a small, always-visible WhatsApp button.
- Hero section — a primary call to action such as "Discuss your project on WhatsApp".
- Service and product pages — next to prices or package details.
- Contact page — alongside phone and email.
- Mobile bottom bar — a slim, unobtrusive bar with Call and WhatsApp.
Avoid floating chat widgets that cover content, auto-opening pop-ups or third-party scripts that slow your site down. A plain link loads instantly and works everywhere.
Step 4: Pre-fill messages with context
A message that just says "Hi" forces you to ask what the customer wants. A pre-filled message tells you before you reply. Make the text specific to each page:
- Home page: "Hi, I'd like to discuss a project. (From the home page)"
- A package: "Hi, I'm interested in the Business Website package. Can we discuss?"
- A service: "Hi, I need billing software for my business."
- A blog post: "Hi, I read your article on local SEO and want help with my profile."
The customer can edit the text before sending, but most won't need to. You immediately know which page they came from and what they're interested in — which also helps you see which pages generate the most enquiries.
Step 5: Keep forms as a backup, not a barrier
Some visitors prefer email or want to describe a complex project in detail. Keep a short, optional form for them:
- Ask only for what you need: name, phone or WhatsApp, and a message. Everything else optional.
- Validate fields clearly and accessibly.
- Add simple spam protection such as a hidden honeypot field.
- After submission, offer a "Continue on WhatsApp" button with their details pre-filled. Many people will take it, and you get a faster conversation.
- Include a short privacy notice explaining how you use their details.
Step 6: Track WhatsApp enquiries
You can't improve what you don't measure. At a minimum:
- Track clicks on WhatsApp and call buttons as events in Google Analytics 4, ideally with the page they came from.
- Use distinct pre-filled text per page or campaign so you can tell sources apart in your chats.
- Label chats in WhatsApp Business to follow each lead from enquiry to sale.
- Review monthly: which pages and campaigns produce conversations, and which conversations turn into customers.
If you run ads, add WhatsApp clicks as conversions so your campaigns optimise for real enquiries rather than page views. If you use a CRM, the WhatsApp Business Platform or a provider can log conversations automatically.
Step 7: Reply fast and well
Speed matters. Someone who messages three businesses will often go with the first helpful reply.
- Reply within business hours as quickly as you can. Use the greeting message to buy time, not to replace a real reply.
- Ask one or two useful questions rather than sending a wall of text.
- Send something concrete: a price range, a relevant example of your work, a catalogue item, or a time to talk.
- Follow up once or twice, politely, if they go quiet.
- Move to a call when it helps — complex projects are often easier to understand in five minutes of conversation.
Respect privacy and consent
- Only message people who have contacted you or agreed to hear from you.
- Don't add customers to broadcast lists without consent.
- Explain in your privacy policy how you use enquiry details and which services (such as WhatsApp) you use.
A quick setup checklist
- WhatsApp Business profile complete, with catalogue, greeting and away messages.
- Click-to-chat links in the header, hero, service pages, contact page and mobile bar.
- Pre-filled text specific to each page or package.
- Optional short form with honeypot, clear errors, privacy notice and a "Continue on WhatsApp" step.
- WhatsApp and call clicks tracked in Google Analytics 4.
- Labels and quick replies set up for the team.
- A target reply time everyone agrees on.
